Do You Need a Lead Pipeline or Only a Customer Diary?

Do You Need a Lead Pipeline or Only a Customer Diary?

Most one-person businesses need only a customer diary. The diary becomes too small the day enquiries arrive faster than you can remember who to call back. If you juggle more than a handful of open enquiries, or you have lost money because a follow-up slipped, you need a pipeline. BusinessSetu gives both: customer records in the Core base, and a Leads and pipelines add-on at ₹200 per month.

This article does not teach you how to keep a diary. It answers one decision: when does a staged pipeline earn its ₹200, and when is it money wasted.

The 60-second version

Use only the Customer Diary when:

Add the pipeline when:

What Core already covers

The BusinessSetu Core base, at ₹799 per month, already holds your customer records, GST or simple non-GST bills, UPI QR on invoices, expense receipt photos, CA-ready reports and 1-tap WhatsApp share. For a shop or clinic where a customer walks in, pays and leaves, that is genuinely enough. A pipeline on top of that would be empty decoration.

The use-cases page describes the daily flow as: check today, move the work, follow up, keep records clean. Notice that none of those steps require stages. They require a to-do view, which the Core dashboard already gives you.

The six-question scorecard

Answer yes or no. Every yes moves you towards the pipeline.

# Question Yes means
1 Do I usually have more than five open enquiries at a time? Volume has crossed diary capacity
2 Does any enquiry take more than two weeks to close? Time creates stages by itself
3 Have I forgotten to follow up with someone in the last month? Memory is now the weakest link
4 Do different enquiries need different next actions, like sample, site visit or revised quote? A single list hides the next step
5 Does anyone besides me talk to customers? Visibility now has a second audience
6 Do I need to count wins, losses and sources every month? Reporting has become a real need

Zero to two yes answers: stay with the diary. Three to four: try the pipeline inside the free trial. Five or six: the pipeline will pay for itself the first week.

Six-question scorecard for choosing between a customer diary and a lead pipeline
The diary-versus-pipeline scorecard, one question at a time.

Two owners, one Tuesday

Picture two owners. This is an illustration, not a case study.

Ravi runs a tiffin service. He has three enquiries open, all from the same apartment block. He writes each in his Customer Diary, sends a bill after the first delivery and collects by UPI. A pipeline would add clicking without adding money.

Meera runs a small interior studio. On Tuesday she has eleven open enquiries: four fresh WhatsApp messages, three quotations sent, two waiting on a site visit, one client deciding between two designs, one politely declined. Her week's income depends on knowing which of those eleven needs a nudge today. For her, a board with Lead, contacted, quoted, won and lost stages is not decoration. It is the difference between a full calendar and a quiet one.

What the Lead board actually gives you

According to the live pricing and use-cases pages, the Leads and pipelines add-on at ₹200 per month provides the lead board, a follow-up list and a pipeline view. The board keeps five stages: Lead, contacted, quoted, won and lost. Each lead carries source, value, notes and next follow-up. You can open WhatsApp straight from the lead context.

That last detail matters more than it looks. The stages are only useful if moving a stage and sending the nudge happen in the same minute. The use-cases page also notes the reminder design is for controlled follow-up, not spam. You tap to send via your own WhatsApp; nothing is blasted automatically.

Fit and non-fit

The pipeline add-on fits when:

It does not fit when:

The cost check

Item Monthly cost
Core base ₹799
Leads and pipelines add-on +₹200
Total ₹999 per month

Taxes apply as applicable and are shown at checkout. The onboarding wizard shows your exact monthly total before you pay, so you can see this sum yourself with the module switched on and off. If ₹200 a month does not clearly buy you faster follow-ups, leave it off. The product is built so modules stay optional.

Frequently asked questions

Is the lead board included in the ₹799 Core plan?

No. It is a separate add-on listed at ₹200 per month on the pricing page. Core covers customer records, billing, UPI QR, expenses, CA reports and 1-tap WhatsApp share.

Can I start with the diary and add the pipeline later?

Yes. Modules are optional by design. The onboarding wizard lets you add only what your business needs, and the trial lets you test the flow before paying.

Does the pipeline send WhatsApp messages on its own?

No. The 1-tap WhatsApp share means you tap to send via your own WhatsApp. The use-cases page describes it as controlled follow-up, not spam.

Are there limits I should know about?

Yes. Fair-use limits apply to messages, AI actions and e-invoice counts by plan. Starter allows 1,000 WhatsApp messages per month and Growth allows 10,000.

What if I have a real sales team of five people?

That is beyond a one-owner board. Consider a custom CRM, where lead capture, assignment and reporting are built around your team, with source code you own.

Try it with your own enquiries

The honest way to decide is not reading, it is testing. Start the 14-day free trial, no card needed, load ten real enquiries, and see whether the board answers the question a diary cannot: who needs me today?

Start the free trial and keep the Core base plus the lead board side by side for a week. If the board does not earn its ₹200, switch it off before you ever pay. Questions first? Talk to us and say plainly how many enquiries you handle in a week.
