When Is Light Inventory Enough, and When Do You Need a Full Stock System?

Light inventory is enough when you sell a handful of products and only need a running count, like a home baker noting ten cakes left. A full stock system becomes necessary when you track batches, expiry dates, serial numbers, multiple locations or automatic reorder levels. The four-level inventory ladder

Level 0: Memory and eyes. One shelf, counted by looking at it. Zero cost, zero records. Fine for a stall with five items.

The first yes is your level. A single yes on criterion 2, 3 or 6 pushes you to Level 3 regardless of how few products you carry.

Two sellers, two honest answers

A home baker selling four cake types and brownies needs Level 1, maybe Level 2 when she fixes her price list. The use-cases page shows exactly this flow: add the WhatsApp order, create the invoice with UPI QR, update the count left this week, send month-end data to the CA. A stock system with batch codes would bury her.

A mobile accessories seller is different the day he starts honouring warranties. Without serial capture at sale time, a warranty claim eight months later is a guess. Batch and serial discipline is not a convenience feature for him; it is the difference between a defensible claim and a loss. That seller needs Level 3, and pretending Level 2 is enough will cost more than the software ever saved.
